WhatsApp Coexistence Setup: How It Works With Wedd.ai
The full WhatsApp coexistence setup with Wedd.ai, from the WhatsApp Business app checks to Meta's signup window, chat sync, and the rules that keep your number connected.
By Wedd.ai Team · Updated October 23, 2026
Quick answer: WhatsApp coexistence setup links the number on your WhatsApp Business app to the WhatsApp Business API, so Wedd.ai can send invitations and collect RSVPs from your own number while your phone keeps working. It takes about five to ten minutes: start in your Wedd.ai dashboard, finish in Meta’s signup window, and approve with a QR scan.
You don’t need business documents to connect. A newly connected number can start conversations with 250 new people a day, or 2,000 after Meta business verification, and Meta expects the app to be opened at least once every 14 days to keep the link. Wedd.ai paces large invitation batches to fit inside your limit. This article explains the whole setup: what has to be true before you start, what each screen is doing, and what changes on your phone afterwards. For a click by click walkthrough of the QR scan only, see How to connect your WhatsApp number to Wedd.ai. New to the idea? Start with What is WhatsApp coexistence?
What you need before coexistence setup
Check these before you click anything. Almost every failed setup traces back to one of them.
| Requirement | Why it matters |
|---|---|
| Number on the WhatsApp Business app | The personal WhatsApp app cannot join coexistence. |
| Latest app version | Older versions of the WhatsApp Business app don’t show the option to link a business platform. |
| Number not on another API provider | A number can only be connected to one WhatsApp Business API provider at a time. |
| A Facebook account you control | Meta’s signup window uses it to create or pick the Meta business portfolio that will own the number. |
| The phone in your hand | The QR scan and the final approval happen on the phone itself. |
You do not need GST, a company registration or a website to connect. Those only come into play if you later apply for Meta business verification to raise your daily limit, covered in Meta business verification requirements.
How coexistence setup works, stage by stage
1. Start from your Wedd.ai dashboard
Open Settings → WhatsApp connection in Wedd.ai on a laptop or desktop and choose to connect your number. Pick the option to keep using the WhatsApp Business app. That is coexistence. The other option moves the number fully to the API and removes it from the app, which is not what most families or planners want.
2. Meta’s signup window opens
Wedd.ai is a Meta tech provider, so the signup itself is Meta’s own flow, not a Wedd.ai form. In this window you:
- Log in with your Facebook account.
- Choose an existing Meta business portfolio, or let Meta create one. You own this portfolio; Wedd.ai only gets permission to send messages through it.
- Confirm a business or display name and a category. For a family wedding, something like your family name or “Sharma Wedding” works.
3. Scan the QR code on your phone
Meta shows a QR code. On your phone, open the WhatsApp Business app, go to Settings → Linked devices → Link a device, and scan it. The code refreshes every few minutes, so regenerate it if it expires.
4. Approve and choose what to share
Your phone shows exactly what is being linked and asks whether to share your existing chats and contacts with the platform. Sharing contacts makes building the guest list faster. It is optional, and the connection works either way.
5. Confirmation in Wedd.ai
Within a minute or so your dashboard shows the number as connected. Send yourself a test message from the dashboard to see it arrive from your own number, name and photo.
What changes on your phone after setup
Your everyday WhatsApp stays almost the same. A few things are worth knowing:
- Chats, calls and status keep working on your phone exactly as before.
- Messages sync both ways. Replies you type on the phone and messages Wedd.ai sends from the dashboard belong to the same number, so guests see one conversation.
- Some app features are switched off for this number, such as disappearing messages and view once. Meta turns these off because the API can’t honour them.
- Open the app regularly. Meta expects the WhatsApp Business app to be opened at least once every 14 days. If it goes untouched for longer, the link can drop and you’ll need to reconnect.
Your daily limit after setup
A newly connected number can start conversations with 250 new people per day. Replies from guests who messaged you first don’t count against it, and Wedd.ai paces large invitation batches to fit inside the limit. Why that pacing matters, and what happens to numbers that skip it, is covered in how to send bulk WhatsApp messages to wedding guests without getting blocked.
If your guest list is bigger, or you are a planner running several weddings, you can raise the limit to 2,000 new people per day by completing Meta business verification on the portfolio that owns your number. What Meta checks, and the website details it expects, are in Meta business verification requirements.
Common setup problems
The option to link a platform doesn’t appear. Update the WhatsApp Business app and try again. If you are on the personal WhatsApp app, move to the Business app first.
Meta says the number is already registered. It is connected to another WhatsApp Business API provider. Disconnect it there, wait a few minutes, then retry.
The QR code expired. Regenerate it in the Meta window and scan the new one. Nothing is lost.
The dashboard never shows “connected”. Check the phone had internet during the scan, then start again from Settings in Wedd.ai. If it fails twice, message Wedd.ai support with a screenshot of the last screen you saw.
Frequently Asked Questions (FAQs)
How long does WhatsApp coexistence setup take?
About five to ten minutes if your number is already on the WhatsApp Business app. Most of that time is Meta's signup window: logging in with Facebook, confirming your business details, and scanning the QR code on your phone.
Do I need a registered business to set up coexistence?
No. You can connect your number without business documents. Business verification only matters later, if you want to raise your daily limit from 250 to 2,000 new people a day. See the Meta business verification requirements article for what that needs.
Can I keep using the WhatsApp Business app after coexistence setup?
Yes. That is the whole point of coexistence. You keep chatting, calling and posting status from your phone, while Wedd.ai sends invitations and reminders from the same number through the API.
Why did my number disconnect from Wedd.ai?
The most common reason is that the WhatsApp Business app was not opened on the phone for a long stretch. Meta expects the app to be opened regularly, at least once every 14 days, to keep a coexistence number linked. Open the app and, if needed, reconnect from Settings in Wedd.ai.
Does coexistence setup work with the regular WhatsApp app?
No. Coexistence only works with the free WhatsApp Business app. Move your number to the WhatsApp Business app first; your chats, groups and media come across with it.
